FirstAgenda Prepare - Optimizations and Adjustments

Intensive work has been done in recent weeks on a number of optimizations and adjustments to FirstAgenda Prepare. The updates primarily involve adjustments in and around the new user administration. We have compiled a summary of the updates below.
 

Web Updates
 

  • Excel link instead of PDF link: When an organization has enabled "Show download link for PDF in agenda", meeting participants can download documents and attachments as PDF. When the document is an Excel file, we display an Excel icon again, and clicking on the icon downloads an Excel file.
     
  • Challenges with email sending: We have encountered several challenges with email sending from Prepare. These have now been resolved, and emails are being sent out correctly again.
     
  • Invitation of AD users: On the new login platform, it has not been possible to log in with an AD user and access an organization without using an invitation - as before. But now it is possible. So if you log in with your AD email, you will be directed to the AD organization that AD users have permission to see.
     
  • Invitation flow - if already having AD: The invitation flow now works, and you will not be blocked along the way when invited to an FA organization if you already have AD login. An example of this is if you have AD in a municipality and receive an invitation to KL, which uses username + password. After the invitation is completed, KL will be linked to your existing FA account, and during the flow, you will create a username + password if you do not already have FA login.
     
  • AD username (= email address) transferred to AD login page: The user enters their email in the FirstAgenda login box, and the email is transferred to the internal login page, so the user does not have to enter the username (email address) twice in a row.
     
  • Prepare 'remembers' the previous organization: ... which means that when the user logs in again, they will be taken back to the organization they were in before logging out. The same applies to AD organizations.
     
  • External users (including non-AD users) have received a separate 'view' on the user page: By clicking on the 'view' "External users," the administrator gets an overview of the external users in the organization. The view also includes users exempt from AD, so if you want an accurate overview of who is exempt, the administrator can enter the AD email, and the search result will show the exempt users in the organization.
     
  • Check for duplicate email when inviting: It is now checked if there is already an invitation email with the same email address when editing an existing invitation.
     
  • Email with information that the password expires: This information email now contains information about when the password expires (= xx number of days).
     
  • Two-factor login: Users will now be prompted for two-factor login only if they have chosen it themselves or if it is required in the specific organization they want to access.
     

iPad Updates
 

  • Notification bell: Now works so that a new notification is marked in red until you click on it. Once you have seen it, the red marking disappears.
     
  • Touch ID + Face ID: Touch ID and Face ID are now reset, and then you will be asked for a username and password if you click "Log out" under Settings in the iPad app.
     
  • Blinking date for the next meeting: The selection list displays a blinking date for the selections where there is an upcoming meeting.
     
  • Decisions at item level: Decisions in manual meetings can now also be viewed at the item level - just like online.
