FirstAgenda Prepare - Automatic reminder

With this update to FirstAgenda Prepare, it is now possible to activate an automatic reminder for pending approvals.

If your meeting participants do not approve during the meeting, you now have two options for sending a reminder:

  • Enable automatic reminders for your organization.
  • Send a reminder manually.

How to enable automatic reminders

If you want FirstAgenda Prepare to automatically send a reminder for pending approvals, please contact our support team to activate this feature for your organization.

The function will automatically apply to all committees in your organization that use the approval feature. Once activated, it will be effective for all future meetings.

  • The first reminder will be sent at 06:00 the day after the meeting and will continue once per day until the participant has approved.
  • Participants cannot opt out of this reminder.

Here is an example of the reminder email – the content is the same whether it is sent automatically or manually.

Bug Fixes:

Floating Notes

  • Agenda Overview and Floating Notes: Previously, all personal notes were visible under the document's agenda overview if "Floating Notes" was enabled. This has now been fixed so that only relevant notes are displayed.
  • Floating Notes on Case Presentations: Notes previously only worked on attachments but now also function on case presentations.
  • Note Counter: Previously, the note counter was only updated on the agenda where the note was originally created. Now, the correct number of notes is displayed on all relevant documents.

Scanning of PDF files that were originally image files

If the original file was an image file (e.g., TIFF, GIF, or JPEG) and was later converted to a PDF, the scanning tool could mistakenly detect number sequences as phone numbers or personal identification numbers. This has now been improved to avoid unnecessary occurrences.
